Please note: The following explanation is based on
http://www.registeracompany.co.uk by taking this website as an example. Reason this website looks simple than others above.

1. See above website as an example, First thing is about
Company name choose by client for a new company is available on companies house register or not. So ‘Check Name whether its available with companies house’ There is link on companies house website to check availability of new company name, maybe we need to create a link to that or any other way?

2. Initial quick registration with my website: Login for this web site i.e. E-mail address and Password / Confirm Password. After the initial client registration with our website, our website creates this message."We've created an account for you and you're ready to start your application. You've been issued a Company ID. You'll need this Company ID if you need to save and return to your application later. Please take a note of it or print this page."

3. Then web site shows Register company tab. In this web site I need the wizard of getting information from clients for their company formation application, steps are as follows:

a) Company Name

b)Company other details: Street address, Post town, county, postcode, Country, care of details (if this is the address of your agent like accountant or solicitor acting on your behalf)

c) Directors & Secretary details (Individual or company): First Name, Last Name, Position, Street address, Post town, county, Country, and postcode. See some important notes and links on http://www.registeracompany.co.uk at this step.

d) More details about the director or secretary: Occupation, Nationality, date of birth, last 3 digit of telephone number, First 3 letters of eye colour, First 3 letters of birth town. See some important notes and links on http://www.registeracompany.co.uk at this step.

m) Data transfer: The main is XML data transfer and receiving utility between Companies House and our database or website. You can find detailed information in Software specification document enclosed. Data will include data received from our clients via website, we add memorandum and articles of association for each new company and send

Company Formation Project Requirements 4 of 6 to companies house via above media. And then receive incorporation certificate for a new company from companies house once they process and check all our data transferred.

n) Our contact to client via e-mails: Please note my aim to reduce time we spent on contacting client and companies house, therefore I am interested in automatic generation of e-mails and transfer data etc. You will see the idea as follows or any other advice on quick communication would be very helpful?

1. First e-mail: once client start application after login details, website should automatically send client an e-mail about its company ID and password. This is because he can use this information later if application is incomplete and this company ID may be helpful to deal with any client’s enquiries in near future etc? Any other way of our control procedures in case of client’s queries or any problem in company formation process, is required from software developer?

2. Conditional e-mail: If the client’s application is incomplete website should identify this and send only one reminder e-mail automatically to client to complete his application.

3. Second e-mail: once client finish with application and submit to us we send client an automatic e-mail confirming their order including some information they put in application form plus others (Name, address, telephone, e-mail address of authoriser, order number, package summary and price, company name, delivery address, customer order reference, their login details and first 3 characters of password) here our website should be able to generate order numbers for every new application, and pick information already we have from application like delivery address, customer order reference etc and combined all this for this e-mail.

4. Third automatic e-mail will be sent once company incorporation request was sent to companies house automatically once we transfer all the above online application from our website, this e-mail will be subjected as ‘Company Incorporation Request’ this e-mail would include time and date for the request, company name, registered office address, Company Secretary, Directors, Shareholders (subscribers) details and addresses.

5. Final e-mail subject ‘New UK Company formed’: after we make a company formation request to companies house they do their own checks and if satisfied they send us a) Company Incorporation Certificate b) Company authentication code (web/electronic filing code) b) Status report of the company on incorporation date. On the receipt of this information from Companies house we send a final e-mail to client ‘New UK company formed’ In this e-mail we send the following documents a) PDF Company Incorporation Certificate b) Company authentication code Word format (web/electronic filing code) c) status report of the company on incorporation date in word format d) Standard Memorandum and Articles of association of company in word format e) Guideline about the online submission of forms f) PDF file for the invoice g) Others to be included? First minutes word, share certificate word, company register word, advertising leaflet PDF.
